Terms and Conditions
It is very important that before you pay and book a retreat with Alpenglow Retreats Limited that you read the terms and conditions carefully. If you have any questions, please do not hesitate to contact us.
By booking with Alpenglow Retreats Limited you accept to be bound by the terms and conditions outlined below.
Where a group makes a booking, all participants must read and agree to these terms and conditions.
All terms and conditions between clients and Alpenglow Retreats Limited are to be governed by and held under the jurisdiction of the courts of England and Wales and the law of England and Wales.
In order to create an amazing, peaceful retreat experience for everyone it is important that all guests adhere to the obligations below.
1. Guest Obligations and Behavior
It would be fair to assume that the majority of people who book a retreat are looking for a peaceful and safe environment. In order for us to fulfil these expectations we ask guests to follow the behaviour conduct outlined below throughout the retreat.
The Guests agree:
- To respect the other guests and retreat staff at all times.
- To maintain the peaceful atmosphere of the retreat.
- To arrive at the retreat with a reasonable fitness level, allowing safe and enjoyable participation in all of the retreat activities.
- To only use mobile phones and other electronic devices in the bedroom or outside, away from the accommodation. This leaves communal spaces as areas to relax and socialise.
- To inform the retreat leader of any problems or breakages in the accommodation immediately.
- To pay for any losses or damage to the retreat property.
- Not to smoke anywhere in or near the retreat property,
- To inform the retreat leader of any issues or complaints straight away so they can be rectified as soon as possible.
Behaviour should not be excessive, noisy or disruptive. By booking a retreat with Alpenglow Retreats Limited you are accepting our ‘zero tolerance policy’ towards disruptive guests. Offensive or illegal behaviour will not be tolerated and may result in the involvement of the local authorities.
Aggressive or offensive behaviour towards any guest or Alpenglow Retreats team members is not acceptable, and we may ask you or any member of your party/group to leave the property immediately. No refunds or compensation will be given in these circumstances, and we reserve the right not to accept any future reservations from you.
Any guest found to be actively ignoring the health and safety guidelines, misusing any property of Alpenglow Retreats, the retreat venue or other guests will be asked to leave with immediate effect and again no refund will be given on the retreat package cost.
If we have any reason whatsoever to believe that you may be putting yourself or others at risk, you will be asked to leave with immediate effect. Please note – If you are in breach of this agreement and the retreat leader has asked you to leave, no refund will be given on the cost of the retreat package or any additional activities booked.
2. Booking Conditions
Age Restriction
Bookings shall not be accepted from persons less than eighteen (18) years of age. On some occasions, we may accept persons 16 years or over if accompanied by a parent or legal guardian. This is completely at the discretion of Alpenglow Retreats and assessed on a case by case basis.
Arriving Late or Leaving Early
If the client chooses to arrive late or leave early before the end of the retreat, Alpenglow Retreats will not refund any unused night’s accommodation or payment for additional activities or treatments pre-booked.
Insurance
It is essential that you take out travel insurance as soon as you book your retreat, which will cover you for any emergencies, delays and cancellations to your booking. This should be purchased independently as it is not included in the retreat program cost.
3. Payment
Confirmation of booking
Retreat bookings will only be secured upon receipt of the deposit payment. Until we have received the deposit, no booking can be guaranteed. Upon receipt of your payment you will be sent a booking confirmation by email. If payment is made for a specific retreat date and during the time of your funds clearing the retreat fully books, a full refund will be offered or an alternative retreat date. No reservations shall be valid until confirmed in writing (electronic or otherwise) by Alpenglow Retreats.
Payment of deposit
A non-refundable deposit of £180 is required at the time of booking. The payment method will be via bank transfer to a UK bank account.
Payment of the balance
The remaining balance of the retreat is payable 60 days before the start date. The payment method will be via bank transfer to a UK bank account.
Special Offers/Promotional Activity
Special offers/promotions and all retreat package inclusions may vary. Alpenglow Retreats reserve the right to make changes at any time.
From time to time Alpenglow Retreats will decide to offer retreats at a promotional rate or include a free treatment/activity. These reduced rates / treatments / activities / offers are only redeemable if they are offered at the time of booking and cannot be added to a pre-existing booking.
Changes to Prices
Retreat prices advertised on our website may change at any time at our discretion. No refunds are given for any difference in price to other guests who booked a retreat at a different price. (See part 6 of the terms and conditions for more information).
4. Cancellation and Refund Policy
During the COVID pandemic we are offering a full discount, including your deposit, on any retreats up to 30 days before the retreat start date so that you can book with confidence.
Cancellation by you
If for whatever reason you need to cancel the retreat after you have booked, the following refund policy will apply:
- Cancellation 30 days or more before retreat start date – full refund including your deposit
Our retreats have very limited capacity. Once you book onto the retreat, we guarantee your place and may have to turn other people away. Therefore, your deposit is none refundable if you cancel 60 days or more before the departure date (unless we manage to fill your place). - Cancellation less than 30 days before retreat start date – no refund given
If any refund is given, all bank charges incurred will be covered by the guest.
No refund will be provided for the retreat if you choose to leave the retreat early or for failure to arrive at the retreat for any reason.
If you are asked to leave the retreat for breaching any of our Terms & Conditions, no part of the retreat fee will be refunded.
We cannot refund in the event of a natural disaster, adverse weather conditions or any other situation out of our control for you not being able to participate in the retreat.
Cancellation by us
We will make every effort to provide the retreat agreed. However, we reserve the right to alter or cancel the venue or date of a retreat, for any cause beyond our reasonable control. In the very unlikely event that we should need to cancel or change a retreat for unforeseen circumstances, or if minimum numbers have not been reached, you may either transfer your booking to the next available date, or we will reimburse all money received from you.
This does NOT include refunds on flights, insurance, transfers or any other related costs incurred. Our liability will be limited to the refund of your retreat deposit only and we will not be liable for any other direct or indirect loss, cost or expense, of any nature, however caused.
Alpenglow Retreats reserves the right to cancel any retreat which does not have sufficient people taking part to make it financially viable, or to cancel your participation alone if not to do so would result in a financial penalty. By the same token, Alpenglow Retreats will endeavour to ensure that a trip runs if at all possible. If your booking is likely to be cancelled under such circumstances, Alpenglow Retreats undertakes to inform you as soon as possible; this may occur after the balance due date but will not occur less than 30 days before the Departure Date.
5. Personal Risk
Alpenglow Retreats maintains high professional standards of client care and safety. We take due care and diligence and only choose good quality accommodation, transport companies and local suppliers, and we only use retreat leaders who are qualified and legal to work in the countries where we organise trips. In choosing to undertake activities in a mountain environment you accept that these activities may pose risks; these risks include but not limited to inclement weather, hazards in walking/hiking on mountain trails, general outdoor activity, travel by train, bus or funicular and cable car. The risks associated with such activities include but not limited to serious bodily injures, paralysis or death. Additional risks may arise from foreseeable or unforecastable causes ie rock fall. All clients must be aware of and accept these risks and be responsible for their own actions and involvement in such activities.
6. Travel, Health Insurance and Payment Protection Insurance
We highly recommend that you arrange adequate travel insurance, insurance to cover your full retreat payment as well as appropriate health and medical insurance at the time of booking a retreat with us.
We recommend that you have adequate cover should you or anyone in your party be unable to attend the retreat due to;
- Death, injury, or illness happening to you, a member of your family or a friend.
- Falling pregnant prior to your retreat start date
- Any change in your personal circumstances or health
- Adverse weather conditions including snow, frost, fog or storm
- Mechanical breakdown, accident, fire or theft en route of a private vehicle taking you to the retreat
- Jury service and court summons
Alpenglow Retreats will not be liable for guest cancellations due to adverse weather conditions, illness, changes in personal circumstances or health, travel complications or any other reason whatsoever.
You should also have appropriate health insurance if required.
Activities on the retreat
You are advised to have insurance that covers you for all of the activities on the retreat, specifically those deemed to be hazardous, included in the itinerary.
Search and rescue
For all retreats outside of the United Kingdom, you must have adequate insurance cover for search, helicopter rescue and repatriation in the event of a medical emergency. Your travel insurance provider must agree beforehand to meet the costs of any search, rescue or recovery, for medical reasons, of you to the nearest appropriate medical facility even if prior authorisation from the insurer may not be possible due to the remoteness of the recovery area or because medical expediency demands your recovery before such authorisation could be received.
In case of a suspected or confirmed emergency involving you or the group of which you are a member, Alpenglow Retreats reserves the right to arrange (or to make arrangements for its or your insurers to arrange) search, rescue and recovery as it deems appropriate and reasonable. You agree to indemnify the Company and keep the Company indemnified from all losses, apportioned appropriately to you, arising from any such search, any such helicopter usage and any resulting repatriation, for medical or non-medical.
7. Medical
Pre-Existing Medical Conditions
You must make Alpenglow Retreats aware at the time of booking of any pre-existing medical conditions, as it may not be possible for you to undertake all the activities on our retreat due to contra-indications.
If you do have pre-existing medical conditions, please make us aware and we will discuss with you an alternative option for whichever activity may not be suitable.
Failure to notify Alpenglow Retreats in advance, may result in you not being able to attend or continue with the retreat or undertake any activities that may have possible contra-indications.
If you fail to provide us with correct information that results in you not being able to attend the retreat or participate once you are on the retreat, you will be liable for the full amount paid.
Medication
If you are taking medication of any kind you must consult your doctor before embarking on a retreat.
Allergen environment
We cannot guarantee that any particular food product is free of all traces of any particular allergen. We are therefore unable to cater for people with severe food allergies.
Pregnancy
We accept pregnant women on our retreats but ask that you obtain a doctor’s note prior to attending to ensure that you are safe to participate in all of our activities.
Disabilities
Unfortunately, we do not have the expertise or resources to cater for people with physical disabilities that cannot care for themselves.
8. Hiking Participation and Preparation
You are responsible for ensuring you are at a reasonable level of fitness prior to attending our retreat. If the hiking leader feels that you are too unfit to join the hike, he/she reserves the right to decide whether or not you can join in. It is down to the hiking leader’s discretion to decide whether or not you are able to join in the hiking activities.
If you are unsure of your fitness level, please contact us and we can help you ascertain if you are at the correct fitness level and suggest a training plan.
Reasons for not being allowed to join the group include;
- Medical issues or lack of fitness which make the hike dangerous for your own health.
- Being unable to keep a reasonable pace. By no means do we race around the mountains, but it is important that the group maintains a steady pace in order to; enjoy the full itinerary, get back to the accommodation at a reasonable time and ensure group safety if the weather changes.
- Dangerous or reckless behaviour
9. Accommodation
In order for everyone to relax in a calming environment we kindly request that all guests treat the accommodation as they would their own home and respect it well.
Check in and check out
Check in is from 2pm on the first day and check out is at 10am on the last day of the retreat.
Liability
The owners of the property and Alpenglow Retreats shall not be liable for any loss, theft, damage, expense, accident, injury or inconvenience, whether to person or property, which the guest may suffer or sustain arising out of, or in respect of, any booking/letting.
Bedroom Allocation
All of the bedrooms are ensuite twin rooms and furnished to a high standard. Some bedrooms are larger and have windows looking onto the garden. These rooms are charged at an additional cost and are allocated on a first-come first-serve basis.
Shared Occupancy
All accommodation is shared unless you have specifically asked for single occupancy, in which case you will be charged a single occupancy supplement. We will ensure that you will be sharing with someone of the same gender. Alpenglow Retreats can take no responsibility for the actions of the person(s) you are sharing with. If you are unhappy for any reason whether it be snoring, clash of personalities, annoying habits, a disagreement or any other reason, Alpenglow Retreats will not be held responsible. Due to the limited space on our retreats, if you are unhappy, we will unfortunately not be able to move you, unless there is a spare bed available.
Standard of Property: Our obligation to you
Alpenglow Retreats will ensure your accommodation is cleaned to a high standard. The entire house will be cleaned thoroughly before your arrival. During your stay, communal areas will be cleaned daily, however our team will not enter or clean your bedroom or ensuite bathroom.
Standard of Property: Your obligation
Guests shall keep the retreat property and all furniture, fixtures, fittings and effects in or on the property in the same state of repair, cleanliness and general order as at the commencement of their stay. Guests must promptly report any damages to Alpenglow Retreats and cover the cost of repair and replacement of any damage or breakages made during their stay.
Smoking and Drugs
Smoking is not permitted inside any of Alpenglow Retreats venues. A set fine of £100 is applicable should a guest be found smoking inside the property to pay for the deep clean required.
Recreational drugs are not permitted inside any of Alpenglow Retreats venues. Anyone found taking drugs (excluding prescribed medication) will be asked to leave immediately and without any refund.
Lost Property
Alpenglow Retreats or the retreat venue will not be responsible for any items left behind by a guest. Lost property will be stored at our storage locker until it is reclaimed. We can also organise to post any lost items to you at a charge of the postage and packaging. We are not liable for any damage or loss of property whilst it is in our storage or during postage.
10. Complaints Policy
Alpenglow staff strive to ensure that all guests have an enjoyable experience however if you have cause for complaint concerning the retreat, the matter should be raised with the Retreat Leader immediately. It is important to raise your concern during the retreat so that an investigation can be made, and appropriate action taken.
Equally, if you have any suggestions about how we might improve our service we welcome your feedback so please feel free to talk to us.
Under no circumstances will compensation (including, without limitation, refunds) or any other remedy be considered for complaints raised after a guest’s stay has ended when he or she did not allow Alpenglow Retreats the opportunity of investigating the complaint and attempting to remedy the situation during the retreat. A copy of our complaints policy is available on request.
11. Data Protection
You give us permission to share any personal information you supply to our suppliers and guides in order for them to be able to provide an appropriate level of service for your retreat. The suppliers list includes (this list is an example of our suppliers and is not exhaustive); accommodation, local authorities for tourist tax reasons and local guides.
We do not share this data with any other 3rd party.
Any personal data you submit will be retained by us for as long as you use our services. Financial data you submit will not be stored or recorded.
You have the right to:
- see any information we hold about you and correct it if it’s wrong.
- request that your data is deleted.
- request that your data is not used for certain purposes.
A copy of our policy is available on request.
12. Photos video other media release
Alpenglow Retreats would like to share your experience with others to promote the retreats. We may use photos and video content from the retreat for marketing and trade purposes. If you do not feel comfortable having your photo taken and shared for marketing purposes, please make your guide aware at the start of the retreat.
TRAVEL REGULATION INSOLVENCY PROTECTION
Financial protection
Alpenglow Retreats Ltd is a company committed to customer satisfaction and consumer financial protection. We are therefore pleased to announce that, at no extra cost to you, and in accordance with ” The Package Travel and Linked Travel Arrangements Regulations 2018” all passengers booking with Alpenglow Retreats Ltd are fully insured for the initial deposit, and subsequently the balance of monies paid as detailed in your booking confirmation form. The policy will also include repatriation if required, arising from the cancellation or curtailment of your travel arrangements due to the insolvency of Alpenglow Retreats Ltd. This insurance has been arranged by Towergate Travel through Zurich Insurance PLC.
Claims
In the unlikely event of Insolvency, you must Inform Towergate Travel immediately on +44 (0) 1932 334140 or by email at tcs@towergate.co.uk . Please ensure you retain the booking confirmation as evidence of cover and value.
Policy exclusions: This policy will not cover any monies paid for Travel Insurance or any claim relating to Air Flights. If you have booked flights as part of your travel, you should ensure that the company with which you booked the flights has the appropriate CAA/ATOL bonds in place.
